Here we give you important information on procedures; how to list products on eBay via csv4you and how to update them regularly.

Link an eBay account to csv4you - eBay, OAuthToken

  • Create New AuthToken
In preparation, you must first create an eBay token. The creation of an eBay token is necessary once, to auhtorize the exchange of data between eBay and csv4you.
My Account ->Base Settings ->eBay
In the 'Add new AuthToken' section:
1. Select the country of the eBay marketplace
2. Add a short description (e.g., "My eBay.com Token")
3. Press the button 'Apply for AuthToken'
4. Follow the instructions on the screen
  • Subscribe to the Interface
My Account ->Subscriptions ->Marketplaces
Here you activate the interface 'eBay Marketplace-API' or additionally 'eBay CSV-Manager'.

Data Preparation

Providing Product Data - Imports and Cronjobs

Use DB Data (System-internal Supplier, Free of Charge)

In this variant, the data is provided directly from our database, but not stored in your data pool. Thus, there is no way to make changes later (e,g,, translations into other languages).

Using 'GALLAY' Data

  • My Account->Base Settings->Data Sources
1. Button [ Actions ] -> Settings
2. For 'Language ... in this Data Source', select - 'Master Data' for DE or 'English' for EN
3. For 'Type and origin ...', - 'Use internal supplier data'
4. Select 'GALLAY ...' as supplier
5. Click the [ Save Settings ] button

Cronjob for Import

  • DataPool ->Cronjobs Import
Creating a cron job is not necessary for this variant, because all changes in the database are available in real time.

Import data - (System-internal Supplier, Paid Packages)

In this variant, the data is treated as an import and stored in your data pool. This gives you the opportunity to later make changes (e.g., translations into additional languages).

Import of ("GALLAY") products

  • DataPool ->Data Import
1. Select variant 'C'
2. Supplier: Select 'GALLAY'
3. Click the [ Upload Now ] button
4. File type: Select 'Category'
5. Click [ Make these settings ]
6. In line 'Name': either leave 'name' for DE or select 'name2' for EN
7. Click [ Import Now ]
8. Repeat steps 1-3
9. File type: Select 'Products'
10. Click [ Make these settings ]
11. In the fields 'Name', 'Short description' and 'Description', leave the default value for DE or select 'English -> Name', 'English -> Short description' and 'English -> Description' for EN from the scroll field. For some other fields, English content can also be selected in this way.
12. Click [ Import Now ]

Cronjob for Import

  • Datenpool ->Cronjobs Import
Create a task here that automatically accesses your data file and imports it at regular times.
Save all changes!

Import data - (general)

We assume here, that the data of your products is either saved locally on your computer or is accessible via a Link HTTP/FTP over the Internet. Please contact us, if your product data exists merely in the form of an eBay Turbo Lister data base.

Import of Products from a .CSV or .XML File

  • DataPool ->Data Import

The data is always imported to the active DataSource. If you have several DataSources set up, make sure, that the right one is active!

Select import option A or B (to set up the FTP access, go to: My Account -> Base Settings -> FTP -> Create a Server Connection).
Select the file to be imported.
Button [ Upload ]: Transfers the file to our server for further processing.
Match/Assign data fields (XML) or columns (CSV) from your import file to the fields in the DataPool.
Tab [ Import-Options ]: activate the Option 'Match Categories from Import File', to import categories from your file.
Tab [ Extern ]: assign value 'eBay-ID', if existing in your import file.
Button [ Import Data / Save Template ]: performs the Import and saves your settings in a template.
You can test the import of your data as often as you like (delete all records first). However, we recommend for performance and safety reasons, to work with only a few records in the beginning.

Cronjob for Import

  • DataPool ->Cronjobs Import
Here you can create the cron job, that regularly, at given times, automatically reads your import file.
Save all your changes!

Assign eBay Categories

  • DataPool ->Internal Categories, DataPool ->Products

the internal categories are assigned here to the corresponding eBay categories, optionally in the product itself, if there are no internal categories for this item.

  • DataPool->Internal Categories
1. Button [ Actions ] ->'Manage eBay Category'
2. Choose the eBay site you want to manage. If there are no entries, click on 'Add Marketplace'
3. In the 'Category' column, select 'eBay Category Match' or 'eBay Category Select'. ('... Match' suggests eBay categories based on the internal category title, '... Select ' gives you the eBay menu tree for manual selection.)
4. Choose the entry for the 2nd category in the same way as for the first one in the previous step (ATTENTION: 2nd category is optional for a fee!)
5. Select Store Category 1 & 2 (only relevant if you also operate an eBay Store, selection here is only manually possible)
6. Save
  • DataPool ->Products
1. Select product
2. On the product's page, select [eBay] tab at the top right
3. Make the settings like on the categories ('... Match' is now using the product name/titel)

Assign Item Attributes

  • DataPool ->Internal Categories, DataPool ->Products

the item attributes are assigned here for all items in a category , optional in the product itself, if there is no internal category for this item or the item attributes differ from the ones used for the categoty.

  • DataPool ->internal Categories
1. Column 'eBay' -> button [ Item Attributes ]
The button is only available if the category has been assigned on at least one eBay marketplace.
2. Select eBay marketplace (hoover mouse over the button, click on the desired site)
3. Select/enter attribute values (mandatory information is highlighted in red)
4. Optionally, you can create your own item attributes here (exactly as you would directly on eBay)
5. Save
  • DataPool ->Products
1. Select product
2. On the product's page, select [eBay] tab at the top right
3. Make the settings like on the categories ('... Match' is now using the product name/titel)

Export Preparation

Price Calculation

  • Export ->Price Calculation
1. Button [ Create new Price Calculation ]
2. Name this new price calculation
3. Purchase price 'From' & Purchase price 'To' (Price range for this calculation - usually the net prices of the manufacturer/wholesaler)
4. Price factor (your profit margin - 1.2 equals + 20%. For a VAT of 19.00% to be included in the final price, increase this value by 0.19; alternatively use the field 'Surcharge' for this.)
5. Surcharge (this field can be used for mark-ups, such as shipping costs, e.g., if you have 5.00 shipping cost, you can enter +5.00 here)
6. Extra (a positive value increases the price, a negative value decreases it. Absolute values and percentages are taken into account. e.g., -5.00, +4.75, +19%, -10%)
7. Save with button [ Create new Price Calculation ].

Product Listing Template

  • Export ->Listing Templates
1. Button [ Create a new Template ]
2. Name this new listing template
3. Create your template with the built-in HTML editor or copy complete HTML pages (you can always switch between the HTML and the layout view.

ATTENTION! eBay guidelines forbid the insertion of certain external links. Also, some content, such as Telephone numbers, is not allowed.)

4. Replace e.g., Titles, descriptions, old/new prices, special prices, pictures or image links, through the corresponding placeholders
5. Save with button [ Create a new Template ]

Transfer/Export Data - Set up the Interface(s)

Base Settings eBay Marketplace API / Alternatively eBay CSV-Manager

  • Export -> Export Profiles
Make individual settings for the transfer/export file here and set additional 'filters' if so desired.
  • DataPool -> Internal Categories
Make sure the categories are mapped to the eBay site you wish to manage and the appropriate item attribute values are filled in
  • Export -> Listing Templates
Choose a template for product descriptions on eBay or create a new one
  • Export-> Export Profiles
eBay Marketplace API
Button [ Send Product Data to eBay ]: Transfers the data as per your interface settings and filters to eBay
eBay CSV-Manager
Button [ Download Export File ]: Creates the CSV file for uploading to the eBay CSV-Manager and offers a "Open" or "Save as" option
In csv4you managed products for which an eBay-ID is already stored, will only be included in transfers or files, if you select the 'Revise' trigger on the 'Others' tab.
After your data has been successfully processed by eBay, you can see the newly created listings in the 'Scheduled Listings' area in your eBay account.

Export Profil

  • Export->Export Profiles
Select an existing export profile. If there is no export profile yet, create one.
1. Choose either 'eBay Marketplace API' or 'eBay CSV Manager' as interface
2. Select 'Create a new Export Profile'
3. Assign a name (file name and description are optional)
4. Select the origin of your product texts. If you have set up translations, you can select them here. 'Master data' is standard (the language in which you have imported your data).
5. If your translations are not completed yet, you can choose, how to handle such records. ('Use master ...' YES, fills the untranslated (empty) text fields with the values from the 'master data'. NO effectively excludes these records, because items without data for the required item attributes are not taken into account, when creating transfers or downloadable files.)
6. Currency | Conversion (changes here are only necessary here if you do not want to list in EUR. Then, however, you need to select the output currency and set the conversion to YES. If your import data is not in EUR, see Import Currency Conversion to EUR)
7. Save with [Create Now]

Price Calculation and Listing Templates

  • Tab Settings
1. Price Calculation (choose the 'Price Calculation' created in section 3.1)
2. Listing Template (choose the 'Listing Template' created in section 3.2)
3. Save with [ Save Settings ]

Business Policy Settings and other Settings for eBay

  • Tab Others
Pay attention to the 'Type of Listing' (Create / Revise / End) option!
You should not create your shipping, payment or returns policy through our system. eBay will not permit this anymore in the near future. Instead, create these Business Policies in your eBay account.

Leave the default settings or change the settings according to the settings in your eBay account (for the names of the business policies, please pay attention to upper / lower case).
If you have entered names for business policies, NO entries shall be made in the 'Shipping', 'Payment' and 'Returns' sections.
Under 'Others', you can make all the settings that you would have made, when manually listing a product on eBay (!!! Some of them are chargeable !!!)

Product Selection

  • Tab [ Filter ]
Price - the net price in your DataSource (NOT your retail price after price calculation)
Stock - the stock level in your data source (NOT the eBay stock level)
Zero Stock - Yes / No (important for updates, to set the inventory on eBay to ZERO, without the need to delete the listing. This option MUST have been activated in your eBay account.)
SQL-Query - Select column/field, select the comparison operator and specify the value to be compared. Only records that meet the criterion will be transferred.
Individual Records - List of records (SKU(s)) to be included in the transmission. Separate multiple SKUs with commas. For variant items, include ONLY the parent SKU! Overrides all other filters and uses these items, even if no category is selected at all.
Excluded Records - When categories have been selected and certain SKUs from these must be excluded from the transfer. List of records (SKU(s)) to be excluded from the transfer. Separate multiple SKUs with commas. For variant items, include ONLY the parent SKU!
New Records - Yes / No (includes only items marked as NEW since the last update)

Send Listings' Data to eBay

eBay API
with a click on [ Send Product Data to eBay ]
If the function 'Get eBay data after transfer is complete?' is not activated, the eBay data must be manually read back after successful transfer under Listings -> eBay with a click on [ Get eBay Data ].

eBay CSV-Manager
Create and download your file by clicking on [ Download File ]. Then upload it to eBay with the eBay CSV-Manager tool.

After a data transfer or CSV-upload, always !!! Take note of the information in the response file !!!

Cron Job for Data Export

  • Export ->Export Profiles ->Tab [ Cronjob ]
Here you can optionally automate the transfer of data via the eBay-API or the output of CSV-files for the eBay CSV-Manager, by setting up a cron job.
The file to upload to eBay CSV-Manager is then (always up-to-date) reachable via a (special) link, whereas the API data gets transfered directly to eBay.

Manage eBay Listings - Inventory and Prices

Syncronize eBay Listings with existing Products in your Data Pool

  • Listings -> Tab [ eBay ]
To syncronize eBay listings with products in the DataPool, the SKU number (ID) of each record in the Data Pool must be present in the field Custom Label at eBay! Otherwise, an assignment is not possible.
If you create your eBay listings through an interface of our system, you do not have to worry about assigning these numbers. The assignments for matching your data between eBay and csv4you will then be done automatically. We therefore recommend that you always use the csv4you eBay-API as the interface for the creation of product listings and for major changes on eBay.

Which Data will be changed when Syncronizing?

Via the button [ Get eBay Data ] you can syncronize all your eBay listings with the products in the DataPool. More possibilities are described in the respective Help texts.

Listings -> Tab [ eBay ] The following updates of your eBay listings can also be made directly in the DataPool (Item ->Button [ Actions ]):

  • Update of the value Quantity (Stock) and / or Price
  • End listings on eBay (max 10 records simultaneously)

Based on many years of experience with customers, we know that the monitoring and regular updating of inventory, availability and prices on eBay is more important and must be carried out more often than the (re-)creation of listings.
